Refund & Cancellation Policies


Non-Mountain Adventures & Colorado Climbing School Refund and Cancellation Policy

Payment is required in full before your program with Smile Mountain Guides. If you need to work out a payment plan, please reach out to climb@smilemountainguides.com during the booking process.

If an outing is canceled by Smile Mountain Guides due to weather, guests have the option to, reschedule the day or be issued a full refund. To provide the best possible service to our guests, start times may be adjusted to give the team the best possible chance for success based on weather and conditions. Smile Mountain Guides does not cover any additional costs associated with a change in plans due to weather.

  • 10% of the total cost of your trip is non-refundable as office/ administrative/ registration fees at the time of booking.

  • 50% of the total cost of your trip is non-refundable but can be rescheduled at 100% credit, subject to availability if we are given 30-15 days’ notice.

  • 100% of the total cost of your trip is non-refundable and rescheduling is not available if you cancel within 14 days’ notice or less. Full days’ wages will be paid to the guide for lost work. 

Trips must be rescheduled within a calendar year from the time of cancellation, subject to availability.  After that period your investment will be forfeited.

We strongly recommend purchasing Trip Insurance to protect your tuition investment and other associated costs with your program.

This includes but is not limited to:

  • Injury/ Illness

  • Weather, Mountain, and Travel Conditions

  • Personal Scheduling Changes

Mountain Adventures and Washington Alpine Climbing School Refund and Cancellation Policy (Rocky Mountain National Park & North Cascades National Park) 

Payment is required in full before your mountain program with Smile Mountain Guides. If you need to work out a payment plan, please reach out to climb@smilemountainguides.com during the booking process. A 50% deposit is collected at reservation to hold your place on these larger programs. 

Mountain programs invariably have weather and our team may pivot to different venues with better weather to best suit the needs of our guests and the learning outcomes of the program. These venues will stay in the specific region of the course but may require some additional travel/lodging. Smile Mountain Guides does not cover these additional costs.

  • 10% of the total cost of your trip is non-refundable as office/ administrative/ registration fees at the time of booking.

  • 50% of the total cost of your trip is non-refundable but can be rescheduled at 100% credit, subject to availability within the season if we are given 60-30 days’ notice. If there is no availability and you have paid in full. You will receive a refund of 50% and forfeit the remaining balance.

  • 100% of the total cost of your trip is non-refundable and rescheduling is not available if we are given 29 days notice or less. Full days’ wages will be paid to the guide for lost work.

AMGA SPI Program Payment, Transfer, Cancellation & Refund Policy

Payment:

  • To accept and hold your space on an SPI program, a deposit of 50% is due with registration. Failure to pay your deposit will result in being dropped from the program

    • $150.00 of your program deposit is always non-refundable

  • Your full tuition is due within two weeks of the program’s start date. Failure to pay your full tuition will result in being dropped from the program with no refund of the deposit. 

Transfer:

  • You can transfer from one program to another within the same calendar year and enrollment period if it is outside of 4 weeks before the program’s start date. 

  • There is a $90.00 transfer fee.

If you would like to transfer within four weeks of a program’s start date, Smile Mountain Guides will retain 100% of your tuition toward the original program. 

Cancellation & Refund:

  • If you cancel your enrollment for any reason outside of four weeks before the program’s start date, you’ll be refunded all but $150.00 of your tuition.

  • If you cancel your enrollment within four weeks of the program’s start date, Smile Mountain Guides will retain 100% of your tuition. 

Additions:

  • If you or Smile Mountain Guides can fill your space on the program with another qualified participant, we will refund your tuition less the 50% deposit.

  • You will receive a full tuition refund if Smile cancels the program prior to the program’s start date. The AMGA is not responsible for costs associated in these cases, outside of tuition

  • If Smile Mountain Guides cancels your program after the program has begun, you will receive a prorated refund or tuition credit.*

  • If you have to leave your program after the program has begun, for any reason, Smile Mountain Guides will retain 100% of your tuition. There is no refund or tuition credit option. 

  • We strongly recommend that you purchase Trip Insurance to protect your tuition investment and other associated costs with your program.

Cancellations By Smile Mountain Guides

In rare cases where conditions or circumstances preclude running any custom or scheduled program, we reserve the right to decide whether the program will be canceled, rescheduled, or another alternative provided. In such cases, you may reschedule without incurring additional fees, or you may receive a refund with a written request. If circumstances arise that force us to cancel a program that is already in progress we reserve the right to decide whether a credit at a prorated rate or a suitable alternative to the program will be issued. We are not responsible for cancellation fees or costs arising from your changed or canceled flights, lodging, or other arrangements.


SMG SHOP REFUND POLICY

Merchandise purchased from the Smile Mountain Guides’ shop is made to order.

These are custom pieces specifically for you. If you need to talk with one of our team members to go over fit or to answer any other questions about the clothing please call 410.982.8282. We do not issue refunds for these products.


PROTECT YOUR INVESTMENT

No one expects to get injured, sick, or have a family emergency the week prior to a trip, but it happens.

To protect from unforeseen circumstances that may lead to a cancellation and a loss of investment we suggest that guests purchase trip protection insurance

We also strong­ly urge you to con­sid­er res­cue and evac­u­a­tion insur­ance for our programs operating in remote areas, such as Rocky Mountain National Park and the North Cascades National Park.

If you choose not to pur­chase insur­ance, you assume full respon­si­bil­i­ty for any expens­es incurred in the event of a med­ical emer­gency and/​or evac­u­a­tion, as well as for trip can­cel­la­tion, inter­rup­tion, lost lug­gage, etc. We are not the experts and there­fore ask that you please con­sult our trav­el insur­ance part­ner direct­ly with any spe­cif­ic questions.

To pro­tect against loss­es due to ill­ness, acci­dent, or oth­er unfore­seen cir­cum­stances, Smile Mountain Guides strong­ly rec­om­mends the pur­chase of trav­el insur­ance as soon as pos­si­ble after mak­ing a deposit.
